The purpose of the form below is to help you, the Department Office staff, and your Committee to perform necessary steps for you to take your Ph.D. Preliminary Examination.

The Department office staff must submit the DECLARATION OF EXAMINATION/DEFENSE form to the Graduate School at least two weeks prior to the oral part and the Department Office staff must prepare or update paperwork as required.

Minor Exam: If the student has a minor, the minor exam will be administered by the Minor Professor. The Minor Professor will be invited to conduct the minor exam in combination with and using the same procedure as the major exam.

The following steps are necessary to conduct your Ph.D. Preliminary Examination, so you can proceed toward graduation. Even though there are a lot of steps, most of the steps are quick. For more details, see Ph.D. Guidelines (http://web.cse.msstate.edu/academics/gradstud/phd.php)

In chronological order:

  1. Fill out this form.

    Update your personal calendar accordingly for all the due dates.
  2. (If needed) Major Professor gives Department Office staff information for preparing Committee Request form or Change of Committee form. Due: __________________________________
    (Students should not prepare these forms.)
  3. Major Professor gives Department Office staff instructions for preparing final Program of Study form. Due: ______________________________________________________
    (at least one week prior to examination)
    (Students should not prepare Program of Study forms.)
  4. Department Office staff will circulate forms for signatures.
  5. Plan the date/time/place of the oral part of your exam with your Committee at least two weeks prior to the written part of the exam.
  6. Submit this worksheet to your major professor for approval at least one week prior to beginning of the written part of the exam. Due: __________________________________
  7. The major professor must must give the approved worksheet to the Department office staff at least two weeks prior to the oral part of the exam, so they can prepare and submit the DECLARATION OF EXAMINATION/DEFENSE form to the Graduate School at least two weeks prior to the oral session.   8. Give your topic paper document to your Major Professor for verbal approval. Due: __________________________________
  9. Give each Committee member a copy of the approved topic paper at least one week prior to the written part. (We suggest two weeks.) (Use email or paper.) Due: __________________________________
  10. Committee members will give questions for the written part of the exam to your Major Professor. Due: __________________________________
  11. Your Major Professor will give you the questions for the written part of the exam. The written part of the exam begins (day/time): __________________________________
  12. Turn in written answers to your Major Professor. Due exactly one week after the beginning of the written part. Due: __________________________________
  13. Your Major Professor will give copies of your written answers to Committee members promptly.
  14. Committee members will give concerns raised by the written answers to your Major Professor. Due: __________________________________
  15. Your Major Professor will promptly discuss the Committee's concerns with you.

    • CSE Oral Comprehensive Exam Evaluation Forms (one for each Committee member)
